The following rules aim to ensure a safe, organised and fair environment for all pupils taking part in after school activities. They set out the procedures for enrolment, the schedule, payment obligations, behavioural expectations and the responsibilities of parents, teachers and the Parents’ Association (AGSEV).

1. Eligibility & Membership
   • Participation is open to all pupils of the European School whose parents are members of the Parents’ Association (AGSEV) and have paid the current annual membership fee.
2. Duration & Schedule
   • Activities run from the end of September until June.
   • Any changes to the timetable will be communicated in advance.
   • Sessions may take place during studio hours, lunch breaks or after school, depending on the programme.
3. Course Format
   • Activities are offered either individually or in groups, as appropriate to the nature of the course.
   • Please have a look at each course in our shop for detailed information.
4. Minimum & Maximum Enrolment
   • Group courses will only be held if the minimum number of participants is reached.
   • For safety and quality reasons, no registrations will be accepted beyond the maximum number foreseen for each activity.
   • Registrations are processed on a first‑come, first‑served basis.
5. Registration & Payment
   • Enrolment is final only after the AGSEV membership fee and the activity fee have been fully paid.
   • Memberships and course registrations must be completed online via the AGSEV web shop.
6. Late Enrolment
   • In exceptional cases, pupils joining after the course has started will pay a fee proportional to the remaining sessions, subject to prior agreement with the teacher.
7. Trial Lessons & Refund Policy
   • Each pupil may attend up to two trial lessons.
   • After the third lesson, no refunds will be issued under any circumstances.
8. Withdrawals
   • Parents must notify both AGSEV and the instructor promptly in case of withdrawal.
   • Refunds or other financial arrangements will be agreed directly with the teacher, in line with the applicable rules.
9. Absences
   • Any absence must be communicated 24 hours in advance to:
     • AGSEV: by completing the absence-form
     • the extracurricular activity teacher (contact details will be provided before the course starts)
     • the bus service (if the pupil uses school transport): valentina.erba@partner.eursc.eu / 0332 242092.
   • Parents are also advised to inform the school, although AGSEV remains the main organiser of the activity.
10. Behaviour & Discipline
    • All pupils must follow school rules and respect teachers’ instructions, including during special situations such as using the canteen or school bus.
    • Conduct in class should always be appropriate and respectful toward teachers and fellow pupils.
11. Exclusion from Activities
    • The instructor may exclude a pupil whose behaviour repeatedly disrupts the activity.
    • In such cases, a reimbursement will be provided for the remaining sessions.
12. Particular Attention and Supervision
    • We strive to make our after-school activities as inclusive as possible.
    • To ensure the safety and well-being of all pupils, parents must inform us in advance if their child requires particular attention, supervision, or has specific medical or educational needs for a given activity.
    • Please note that our after‑school programme does not have specialised resources or SEN-trained personnel. If a pupil requires assistance beyond what our standard activity leaders can safely accommodate, we will work with the family on a case-by-case basis. In such instances, we may ask parents to organise appropriate external support so the child can participate safely.
13. Learning & Enjoyment
    • Above all, our after‑school activities are designed to provide a positive experience where pupils can learn, grow and have fun.

Specific Rules for Music Lessons

• • Music lessons are offered only through AGSEV agreements. Private music lessons are not allowed on school premises.

• • Lessons may take place during free periods, lunch breaks, or after school, depending on availability.

• • Payments are managed by AGSEV. Lesson scheduling and cancellations are handled directly between families and teachers.

• • If a pupil cannot attend a lesson, the teacher must be informed at least 24 hours in advance.

• • Missed lessons may affect the total number of lessons for the school year.

• • Teachers are not required to make up missed or late-cancelled lessons.

• • For planned or longer absences, parents should inform the teacher in advance. Any arrangements are at the teacher’s discretion.
