Easier school materials ordering for the Francophone section

[Per l’italiano, vedi sotto] Every year, parents in the Francophone section struggle to find the right notebooks for class. Every teacher has their own strict preferences, which may also depend on whether they come from France, Belgium or elsewhere. And the challenge is only greater for families that don’t go back to either country in the summer.

For September 2020, however, things will be different. Mélanie Weynants, AGSEV member and P2 class representative, has helped organize an agreement with a distributor so that parents can order and pay online and have their school materials delivered directly to the school. We talked with her to find out how it’s going to work.

Mélanie, tell me briefly about the system you’ve helped set up.

We’ve set up an online platform where parents can order school books and material for next school year. The service is provided by LDE, a French company that works with French schools in France and abroad. The lists are organised by country/city/school/class. Parents can choose from the list which items they want and pay directly online. The deadline for orders is 13 July. All orders will be delivered in one single delivery direct to the school at the end of the summer.

Where did the idea come from?

We had a meeting with the French section class representatives last December in which we discussed the difficulties of getting the school material the teachers requested in the French section. Parents who don’t go back to France over the summer spend hours looking for the right notebooks on the internet. We thought that it could save parents a lot of time to have everything in one place.

How did you first make contact with this distributor?

The first contact was made back in February by one of the P4 class representatives. She called the company and shared with us the information on the service they propose. Then, with the Covid-19 closing, it slipped our mind until three weeks ago when the school published the lists for next year. I volunteered to take over the project, got in touch with LDE, and started working on setting up the system for our school.

Why did you choose this distributor?

This company was recommended by a friend from the French school in Milan. They have a complete catalogue of French school books and, most importantly, of French stationery. They work with French schools all over the world. For the books, the prices are the same as on other online bookshops. The big advantage is for the stationery: if you want to buy a Seyes notebook on Amazon, either you pay an incredibly high price or you need to buy a pack of 10 or 20. Some other formats, specific for P1, are virtually impossible to find.

And they’re flexible: parents can choose which items from the lists they need and pay online directly to LDE. Once we’ve set up the system, the class representatives don’t have to deal with anything but the distribution of the parcels in September. Let’s hope that goes smoothly!

What did you have to do to help set up the system?

Once I learned how the system worked, I shared the primary school list, which I had reformatted in Google Sheets, to check that they had all the books in their catalogue. We then decided to extend the offer to the secondary school even though it might be more difficult given the large number of options. I shared the lists when they were published and in a few days the online lists were ready. I had to double check that they were correct, which took me some time, but there were only a few mistakes.

How did you communicate the idea to the parents?

We had discussed this among class representatives, but not really with the parents. To get a rapid overview of the interest for such a service, we set up an online survey that the class representatives shared in their classes. With over 80% of respondents in favor of trying the system, we were convinced we should go ahead. Once the system was in place, we spread the news through the class reps and, with the school secretary’s help, through the SMS system.

How do you think the Francophone section will benefit from this system?

Hopefully, in the end the only parent who has to spend hours finding school materials this year will be me! The others can just go through the list, decide what they need and pay online. I’ve already ordered the material for my children and it only took me 5 minutes. For the secondary, the benefit might be more limited than for the primary because not all books are available.

Will Francophone parents be able to order later this year? Or only in July?

With the system as it is now, the final deadline for ordering is 13 July. However, if the school were interested, it could set up a school account at the company, manage the payments and then have the possibility to order new books etc. as needed. The company also helps schools organise second-hand book selling. I don’t know the costs, but given the small size of the French section, this option may not be feasible.

Do you think this could work for other sections?

The company we chose is specialised in French schools. Their catalogue is not as large as an international bookshop and I don’t know whether other sections have particular requests regarding stationery. But maybe there are companies that could be more suitable for the cultural diversity of our school.

Ordinazione semplificata di materiale scolastico per la Sezione francofona

Ogni anno, i genitori della sezione francofona faticano a trovare i quaderni giusti per la classe. Ogni insegnante ha le sue rigide preferenze, che possono anche dipendere dal fatto che provenga dalla Francia, dal Belgio o da altri Paesi. E la sfida è ancora più grande nel caso in cui le famiglie non tornano nel proprio Paese in estate!

Per Settembre 2020, invece, le cose saranno diverse. Mélanie Weynants, socio dell’AGSEV e rappresentante di classe P2, ha contribuito a organizzare un accordo con un’azienda affinché i genitori possano ordinare e pagare online e farsi consegnare il materiale scolastico direttamente a Scuola. Abbiamo parlato con lei per scoprirei vantaggi offerti da questo nuovo sistema.

Mélanie, raccontami brevemente il sistema che hai aiutato a mettere in piedi.

Abbiamo creato una piattaforma online dove i genitori possono ordinare libri e materiale scolastico per il prossimo anno scolastico. Il servizio è fornito da LDE, una società francese che lavora con le Scuole francesi in Francia e all’estero. Le liste sono organizzate per paese/città/scuola/classe. I genitori possono scegliere dalla lista gli articoli che desiderano e pagare direttamente online. Il termine ultimo per gli ordini è il 13 Luglio. Tutti gli ordini saranno consegnati in un’unica consegna direttamente alla Scuola alla fine dell’estate.

Da dove è nata l’idea?

Lo scorso dicembre abbiamo avuto un incontro con tutti i rappresentanti di classe francesi durante il quale abbiamo discusso le difficoltà di ottenere il materiale scolastico richiesto dagli insegnanti della sezione francese. I genitori che non tornano in Francia durante l’estate passano ore a cercare su internet i quaderni giusti. Abbiamo pensato che sarebbe stato possibile risparmiare ai genitori un sacco di tempo per avere tutto in un unico posto.

Come hai contattato per la prima volta questo distributore?

Il primo contatto è stato stabilito a Febbraio da uno dei rappresentanti della classe P4. Ha chiamato l’azienda e ha condiviso con noi le informazioni sul servizio che proponeva. Poi, con la chiusura a causa del Covid-19, ci è sfuggito di mente fino a tre settimane fa, quando la Scuola ha pubblicato le liste per il prossimo anno. Mi sono offerta volontario per prendere in mano il progetto, mi sono messa in contatto con LDE e ho iniziato a lavorare alla creazione del sistema per la nostra scuola.

Perché hai scelto questo distributore?

Questa azienda ci è stata raccomandata da un’amica della scuola francese di Milano. Hanno un catalogo completo di libri scolastici francesi e, soprattutto, di cancelleria francese. Lavorano con le scuole francesi di tutto il mondo. Per i libri, i prezzi sono gli stessi di quelli delle altre librerie online. Il grande vantaggio è per la cartoleria: se si vuole acquistare un quaderno Seyes su Amazon, o si paga un prezzo incredibilmente alto o si deve comprare un pacco da 10 o 20. Alcuni altri formati, specifici per il P1, sono praticamente impossibili da trovare.

E sono flessibili: i genitori possono scegliere dalle liste gli articoli di cui hanno bisogno e pagare online direttamente a LDE. Una volta impostato il sistema, i rappresentanti di classe non devono occuparsi di altro che della distribuzione dei pacchi a Settembre. Speriamo che vada tutto liscio!

Cosa avete dovuto fare per aiutare a configurare il sistema?

Una volta saputo come funzionava il sistema, ho condiviso la lista delle Scuole elementari, che avevo formattato in Google Sheets per verificare che avessero tutti i libri nel loro catalogo. Abbiamo poi deciso di estendere l’offerta alla Scuola secondaria, anche se potrebbe essere più complicato, dato il gran numero di opzioni. Ho condiviso le liste quando sono state pubblicate e in pochi giorni le liste online erano pronte. Ho dovuto ricontrollare che fossero corrette, il che mi ha preso un po’ di tempo, ma ci sono stati solo pochi errori.

Come ha comunicato l’idea ai genitori?

Ne avevamo discusso tra i rappresentanti di classe, ma non con i genitori. Per avere una rapida panoramica dell’interesse per un servizio del genere, abbiamo organizzato un sondaggio online che i rappresentanti di classe hanno condiviso nelle loro classi. Con oltre l’80% degli intervistati favorevoli a provare il sistema, ci siamo convinti di dover andare avanti. Una volta installato il sistema, abbiamo diffuso la notizia attraverso i rappresentanti di classe e, con l’aiuto della Segreteria della scuola, attraverso il sistema SMS.

Come pensa che la sezione francofona trarrà vantaggio da questo sistema?

Speriamo che alla fine, l’unico genitore che quest’anno dovrà passare ore a trovare materiale scolastico sia solo io! Gli altri possono semplicemente scorrere la lista, decidere di cosa hanno bisogno e pagare online. Ho già ordinato il materiale per i miei figli e ci ho messo solo 5 minuti. Per la Secondaria, il beneficio potrebbe essere più limitato rispetto alla Primaria, perché non tutti i libri sono disponibili.

I genitori francofoni potranno ordinare alla fine dell’anno? O solo a luglio?

Con il sistema così com’è ora, il termine ultimo per l’ordinazione è il 13 luglio. Tuttavia, se la Scuola fosse interessata, potrebbe aprire un apposito “conto scuola” presso l’azienda, gestire i pagamenti e poi avere la possibilità di ordinare nuovi libri ecc. a seconda delle necessità. L’azienda aiuta inoltre le scuole a organizzare la vendita di libri di seconda mano. Non conosco i costi, ma date le piccole dimensioni della Sezione francese, questa opzione potrebbe non essere fattibile.

Pensa che potrebbe funzionare per altre sezioni?

La società che abbiamo scelto è specializzata nelle scuole francesi. Il loro catalogo non è grande come una libreria internazionale e non so se altre sezioni hanno richieste particolari per quanto riguarda la cartoleria. Ma forse ci sono aziende che potrebbero essere più adatte alla diversità culturale della nostra scuola.
